How we protect your information

We take reasonable steps to protect information we receive, including limiting access to authorized personnel/volunteers, using secure handling practices, and retaining information only as long as needed for scheduling, service delivery, and compliance. When information is no longer needed, we dispose of it using reasonable safeguards.

Important: Please do not submit Social Security numbers, photos of IDs, tax returns, W-2s/1099s, or other sensitive tax documents through this public website, unsecured email, or public Google Forms.

Secure document exchange (Encyro): If you are eligible and we confirm an appointment, we may invite you to use Encyro for secure document exchange. We use Encyro only after eligibility screening and/or appointment confirmation so we can avoid receiving unsolicited sensitive information. If you have not received an Encyro invitation from us, please do not upload or send tax documents.

Basic intake form: We may use a basic intake form to collect general information to help with scheduling and eligibility screening (for example, name, contact information, preferred appointment details, household size, and general income sources). This form is not used to collect Social Security numbers, and it does not accept document uploads.

How sensitive documents are handled: When documents are needed for tax preparation, we request them through secure methods (such as Encyro) and limit access to authorized personnel/volunteers as required by IRS VITA program policies and our internal procedures.

Sharing of information

We do not sell your personal information. We may share information only as needed to operate VITA services and comply with legal or program requirements (for example, with IRS VITA program processes, our site partners, service providers who support our operations, or when required by law).
