Privacy Policy
Effective date: March 16, 2026
This Privacy Policy explains how Rio Bank VITA (Alonzo Community Service Foundation) collects, uses, and protects information when you visit our website or request an appointment for IRS Volunteer Income Tax Assistance (VITA) services.
Information we collect
When you request an appointment or contact us, we may collect:
- Name
- Contact information (phone number, email address)
- Preferred appointment details (date/time, location)
- Basic tax/eligibility details you choose to share to help us determine whether VITA may be a good fit (for example, filing status, household size, general income sources, and whether you have certain tax situations)
If you visit our website, we may also collect limited technical information such as your device/browser type and general usage data (for example, which pages are visited), which may be collected through cookies or analytics tools if enabled.
How we use your information
We use the information we collect to:
- Schedule and manage appointments
- Provide VITA-related services and support
- Communicate with you about your appointment and what to bring
- Improve our services and website experience
- Comply with applicable laws and IRS VITA program requirements
How we protect your information
We take reasonable steps to protect information we receive, including limiting access to authorized personnel/volunteers, using secure handling practices, and retaining information only as long as needed for scheduling, service delivery, and compliance. When information is no longer needed, we dispose of it using reasonable safeguards.
Important: Please do not submit Social Security numbers, photos of IDs, tax returns, W-2s/1099s, or other sensitive tax documents through this public website, unsecured email, or public Google Forms.
Secure document exchange (Encyro): If you are eligible and we confirm an appointment, we may invite you to use Encyro for secure document exchange. We use Encyro only after eligibility screening and/or appointment confirmation so we can avoid receiving unsolicited sensitive information. If you have not received an Encyro invitation from us, please do not upload or send tax documents.
Basic intake form: We may use a basic intake form to collect general information to help with scheduling and eligibility screening (for example, name, contact information, preferred appointment details, household size, and general income sources). This form is not used to collect Social Security numbers, and it does not accept document uploads.
How sensitive documents are handled: When documents are needed for tax preparation, we request them through secure methods (such as Encyro) and limit access to authorized personnel/volunteers as required by IRS VITA program policies and our internal procedures.
Sharing of information
We do not sell your personal information. We may share information only as needed to operate VITA services and comply with legal or program requirements (for example, with IRS VITA program processes, our site partners, service providers who support our operations, or when required by law). We share only what is reasonably necessary for the purpose.
Cookies and analytics
Our website may use cookies or similar technologies for basic functionality and, if enabled, analytics to understand website traffic and improve our content. You can control cookies through your browser settings. If analytics are enabled, they may collect information such as pages visited, time on site, and general device/browser information.
Your choices and rights
You may contact us to request access to, correction of, or deletion of personal information we maintain about you, subject to information we are required to keep for administrative, legal, or IRS VITA program compliance purposes.
